Below are my ideas for organizing a vigil. This page is currently in work and no where near finished yet.

Participants

An active vigil will have 3 types of participants, the Caller, the Resource Manager (RM), and the ones who do the sacrifcing, which I'll call Common Priests (CP). The caller and the RM are also considered to be CPs for the purposes of making sacrifices. The participant roles are:

Caller
Responsible for maintaining the list of active CPs and matching them up to the current visions. The caller will watch the fire for the visions, retrieve the items from the chests and give them to the CPs.

Resource Manager (RM)
Responsible for maintaining the resource chests and accepting new CPs. Coordinates with others as needed to keep the supplies flowing. Maintains a "needs list" on the wiki to help others plan what they will bring to the vigil.

Common Priest
Gathers / processes resources as needed for future sacrifices, and makes sacs as assigned.

Donations

Donations can be made at any time from when the vigil is first planned until the fire dies out. A set donation amount is required for new vigil participants, with different values placed on items based on their rarity. Once a participant makes this initial donation, they can be placed on the active CP list, as long as they are in the vigil area and/or actively working on gathering more resources for the vigil.

Donations can be made before a vigil starts by placing the items in a specially marked donation chest. One of the vigil organizers should also be /chatted to notify them of the donation. When the donation is accepted, the donator's name should be placed on a list (guild hall message?) to indicate they will be welcomed as a vigil CP once the vigil begins.

The initial required donation will hold the CPs place throughout the vigil, although it is hoped the CP will continue to gather further resources nearby as needed while actively participating. If the CP needs to take a break, they are temporarily removed from the active CP list, but can be placed right back on when returning.

Once the vigil is underway, if a difficult vision occurs that goes under the hour mark, a donation of the resources needed for that sacrifice will count the same as a full initial donation. (i.e. A call is made to the public to save the vigil from dying with xx items, the donator of those items can join the vigil without having to make any other initial prescribed donations).

Onsite Gathering / Processing

CPs should bring with them items to help gather further resources, like flax seeds, jugs, vegetable seeds, a hatchet, a shovel, etc. There should be a compound close by the vigil with public processing equipment. Suggested equipment includes a hackling rake, distaff, hand loom, rock saw, mason's bench, carpentry shop, drying racks, tub, brick racks, true kilns, and a firepit. It is especially helpful if the hackling rake and hand loom are close enough to the vigil area to allow multiple people to operate them as endurance allows.

If a CP needs to leave the area to gather or process some vigil resources, they will not miss out their next set of sacrifices. When leaving, the CP should let the caller and RM know. When the CP's next turn comes up, if he is away gathering, then a credit mark is made for him, up to a maximum of 5 credits. Upon returning, and after giving/stashing the new resources, he will be able to make the sacs to clear the credit marks. When the caller marks a credit for a CP, he should /chat the CP letting him know.

Vigil Resource Chests

Vigil sacrifice resources should be kept together in a series of large or huge vigil chests. All donations should end up stored in these chests, with stashing and viewing permissions given to the public. The contents should be kept in alphabetical order to make it easier to track what is available and to retrieve items needed for a sac.

The chests should be close enough to the fire so the caller can both see the fire visions and retrieve items (by the caller) from the chests, but far enough away from the fire to encourage people to stand away from the fire.

Sacrifices

Sacrifices (sacs) are assigned by a caller and made by a CP after receiving resources kept in the vigil chests. Citizens should stand away from the fire unless making a sacrifice, to help make it more clear who is doing so. This should help cut down on any out of order sacs made by visitors.

Sample Vigil Activities

Caller Resource Manager (RM) Common Priest (CP)
Stands within range of both the chests and the fire Moves as needed, but generally is near the chests and fire Generally stays in hearing range of caller, but moves as needed to gather future sacrifice resources. If the resources are not available announces the vision and its missing status. Notifies the RM Coordinates replenishment of depleting and missing resources Notifies RM of what resources he is working on
Checks for availability of next CP Looks out for aging visions. Makes calls to public chat channels if needed for critical items Notifies the caller if will be out of the area for the purpose of working on resources
If an active CP is not in the area (away gathering resources), then places a mark by that CPs name as credit for a later sac. Announces the mark and notifies the CP via /chat. Checks for the next CP. May have a maximum of 5 credit marks
If the CP is available and the resources exist, calls out the CPs name and the vision resources. Gives the resources to the CP. Sacrifices the given resources
When a CP returns, removes their credit marks by matching up the next visions with that CP till the credits are all used. Announces the sacrifice as normal, with the extra note of the credit being worked off. Notifies the caller when returning to the area.
When handing caller duties to another, gives the new caller the list of active CPs, along with any notes regarding credit marks, pending sacs, etc When handing caller RM duties to another, gives the new RM the list of qualified CPs (have made initial donations) and any notes regarding gathering of missing supplies. Notifies caller and RM if leaving the vigil and if returns
